Farm Tracking and Management Spreadsheet

Post by StellaSim »

Hi All,

I've been learning excel/google sheets and decided to use my farm on here to design a spreadsheet around since I learn best by doing. I just wanted some basic practice as my final goal would be to design a spreadsheet around managing a rabbit herd (I used to breed rabbits for meat and want to get back into it). I wanted to share what I made in case anyone else finds it useful. I'll give a brief explanation of what it does with pictures below.

This image is the first part of the information input table on the sheet labeled "Horses".
Image

This table contains sections for basic information about the horse, name ID and any information about their color, markings and suspected or known color genetics. The traits shown are related to the horse’s breeder’s report. A red comment = RED, a negative comment = NE, an average comment = AVE, a positive comment = POS, a green comment = GREEN, and a gold comment = “GOLD”.

The next half of the table looks as follows:

Image
Here, the traits refer to their confirmation score (see INT is missing). The “Heart” column refers to whether or not you think this horse has the “heart” gene, Y for yes or N for no. The Dam and Stud columns refer to that particular horse’s parents. The horse IDs should be used in these columns. The next column is a drop-down list that contains the names of your breeding programs. Do not enter anything in the Report Color column. This column automatically counts how many greens and golds a horse has. Next you can indicate whether your horse is a mare, stallion, or gelding and what temperament it currently has. The weight should be entered as a number, with 1 being the skinniest and 6 being the fattest. The “Retired?” Column indicates whether or not an individual has retired.

DO NOT ENTER ANY INFORMATION IN THE FOLLOWING COLUMNS.

Image
“Grinder?”
This column returns a “Yes” for any horse with an HGP > 55,000 and more than 4 in the Report Color column.
The following columns of competitions will return a “Yes” if a horse’s confirmation scores are in the appropriate order. For example for cross country, STA > STR > AGI > BAL.

Image
The next section of competitions will return a “Yes” if the appropriate traits are at least a green. So again, for cross country if a horse has green or gold stamina, strength, agility, and balance, the cross country column will return a “Yes”.

Image
The final set of competition columns (Should Horse Train to Compete?) will return a “Yes” if the following conditions are met:
• Both of the other competition suitability sections are “Yes”
• You indicated the horse has the heart gene
• HGP > 60,000
• The temperament and Weight matches the competition
• The breeder’s report has > 4 traits with at least green.
I used this discussion to set the weights and temperaments for each competition.
Information That Is Valuable

Moving to the sheet named “Calculations” (don’t worry there are no calculations here), this is where you would type in the name of your programs, under the column “Programs”. I recommend not changing the other columns, as that will change the other drop-down lists in the sheet.

The other two sheets are the “Broodmare Records” and “Stud Records” Organized similarly. I like to try and keep track of what matches are producing. Sometimes I think a particular mare or stud is valuable to my program because of their stats, but they consistently throw poor or average quality foals! So, here you can keep track.

Stud Records

Broodmare Records

The name and ID column are for the particular stud or broodmare whose progeny you are tracking. The “Rehome Colts” and “Rehome fillies” are columns where you track how many colts or fillies they produced which you then rehomed. Next to these columns is a column for the ID of the other half of the reproduction equation. Sometimes I found that particular matches consistently had bad results, but the same mare and stud produced good quality results with different matches. Likewise you can track how many colts or fillies of the same (Average) quality they produced and how many colts and fillies produced that were improvements from the parents.

Finally, the sheet generates a simple 5-Gen pedigree. It does not calculate COI, but I thought it would be fun to make one.

Here is the link to the google sheets. Just make a copy for your own drive and you'll be able to use it as you wish.

I hope this proves helpful to you all! Also open to any feedback you all may have on it.

Firstly- I didn't even know you could make pedigrees in google sheets! This entire thing had to have taken ages to put together (or a lot of prior knowledge) so that's immediately impressive.

Secondly- outside of the people who breed for all colored comments, most competition horses won't have colored comments for all four stats. Particularly anything that has movement (and it isn't the main stat)- same for strength. Could the sheet be alterable to return a positive for competitions with strength/movement in them if they hit a specific conformation score OR the colored comment? Not something you'd need to do I'm just curious if it could be done

Yes! It took me a little bit of time to figure out, I'm definitely still a beginner. Sheets/excel is super versatile and you can really do a lot with it. I'm very excited to be learning more.

And yes, I think so. My plan is to basically make a couple different drop down lists after the main table that would allow the user to select several things including:
  • What competitions they want displayed
  • What standards they want (So, like you mentioned scores above a certain value or specific colored traits)
  • The ability to adjust HGP cutoffs
A perhaps some other things so that users can customize their experience according to their farm and breeding goals.
